Depending on how you use the website or rescue portal, we may collect:

• name, email address, phone number, address and organisation details
• account details such as login credentials, user role and portal preferences
• booking, departure and dog transport records
• messages, support requests, attachments and operational notes
• billing, invoicing and payment-related records
• technical and security data such as IP address, browser data and access logs

We ask rescue partners, adopters and fosters to only provide information that is genuinely needed for the booking, handover or support request.

Some personal data about adopters, fosters or delivery contacts may be provided to us by a rescue organisation rather than by the individual directly.

We use personal data to:

• create and manage accounts for rescue partners and platform users
• receive, review and manage bookings, departures and related dog records
• coordinate transport, handovers, updates and support communications
• share relevant booking information with the rescue or receiving contact involved
• manage invoicing, record-keeping, complaints and business administration
• keep the platform secure and investigate misuse, fraud or unsafe requests

We normally rely on one or more of the following legal bases under UK data protection law:

• taking steps before a contract is agreed, such as reviewing a booking request
• performing a contract where a booking, account or paid service is in place
• our legitimate interests in operating, improving and protecting the platform and service
• complying with legal or regulatory obligations where they apply
• consent where the law requires it, for example for optional marketing or non-essential cookies

When we deliver a rescue dog to your home, we use the email we hold for you (usually provided by the rescue you adopted from) to send one short follow-up email, typically a week or two after arrival, asking how the dog is settling in.

We send this because we have a legitimate interest in understanding how our deliveries go — it helps us improve the service and, when you choose to share your story, reduces the anxiety of future families considering adoption. Nothing you write is published unless you submit it and an admin approves it.

You can opt out at any time, with no effect on the adoption or delivery:

• click the one-click unsubscribe link in the email
• use your mail client’s built-in unsubscribe button
• toggle it off on your /my-data page
• email privacy@adoptr.uk

Opting out records your preference on a central suppression list, so any future delivery to the same email address is honoured without you having to opt out again.

We only share personal data where it is necessary for the booking, service or support request. This may include:

• rescue organisations, adopters, fosters or other authorised contacts involved in the same booking
• service providers supporting hosting, email, payments, authentication, infrastructure or support
• professional advisers, insurers, accountants or payment providers
• authorities, regulators or enforcement bodies where disclosure is legally required

We do not sell personal data.

Some of our service providers may process or access personal data outside the UK. Where that happens, we use appropriate safeguards required under UK data protection law.

We keep personal data only for as long as it is reasonably needed for the purpose it was collected, including record-keeping, legal, tax, insurance or dispute reasons.

As a general guide, enquiry records may be kept for up to 24 months, account and booking records for up to 6 years after the last relevant activity, and invoice records for longer where accounting or legal rules require it.

We use reasonable technical and organisational measures to protect personal data, including access controls, system monitoring and secure service providers. No online system can be guaranteed to be completely secure, so you should also keep your passwords and account access details safe.

We use essential technical measures needed to run the site and portal. If we use analytics, advertising cookies or other optional tracking tools, we will ask for consent where required and update this notice.

Depending on the circumstances, you may have the right to ask us to:

• give you access to your personal data
• correct inaccurate or incomplete data
• delete data where there is no valid reason for us to keep it
• restrict or object to certain processing
• provide data portability where the law applies

Where we receive personal data from a rescue organisation instead of directly from the individual, we may provide privacy information in our first communication with that individual or otherwise within the period required by law.
